Massachusetts Institute of Technology Administrative Assistant II in Cambridge, Massachusetts
ADMINISTRATIVE ASSISTANT II, Materials Science and Engineering (DMSE), to provide comprehensive administrative support to the academic administrator and DMSE Academic Office. Will assist in managing all aspects of DMSE's graduate (S.M. and Ph.D.) and undergraduate programs (major and minors); and serve as an informational resource for students, faculty, staff, applicants, and the public. Responsibilities include coordinating fall orientation for graduate students; registration; assisting with admissions process (i.e., communicating with prospective students, tracking applications, managing web-based admissions committee activities, notifying applicants of decisions, organizing/overseeing weekly committee meetings, etc.); assisting with organization/management of graduate recruitment weekend events (arranging faculty-student meetings, organizing functions and lectures, hotel accommodations, processing reimbursements, etc.); preparing literature for various programs and working with departmental communication staff; assisting Graduate Materials Council on arranging department-wide events; organizing graduate committee and graduate admissions committee meetings; attending Institute staff meetings related to graduate students/program; overseeing degree progress and graduation requirements for Ph.D. and master’s candidates; serving as liaison to the Institute Archives and between recruiters and graduating students; assembling student records/statistics in support of strategic planning; assisting with coordinating DMSE’s commencement luncheon and awards ceremony; and assisting with other projects as needed.
REQUIRED: minimum of three years’ administrative experience; excellent interpersonal, communication, and organizations skills; attention to detail; solid proofreading and editing skills; ability to interact effectively with a diverse group of people, work both independently and as a team member, prioritize, handle multiple tasks concurrently, and work effectively to meet deadlines in a very busy environment; proficiency with MS Word, Excel, PowerPoint, FileMaker, WebSIS, GAP, and online social media; and willingness to learn new software applications.
