  1. Meetings to be Scheduled:

a. Quarterly meetings for executives including their direct reports, and secure meeting rooms (and reschedule if when there's a need).

b. Schedule ad-hoc meetings for Sales team), reserve meetings rooms as necessary. Additionally, schedule prep meetings in advance.

c. Coordinate Mid-year review meetings for

d. Support for Town-hall meetings in Sales organization

e. Lead and coordinate Interviews for candidates, e.g., 4 candidates in recent weeks came in for interviews, each requiring 5 individual meetings for a total of 20 meetings.

f. Schedule meetings for any new hires.

g. Assist with logistics for team meetings, inquiry from colleagues to choose the venue, the teambuilding activities, secure venue, reserve restaurants and send out save the date invites.

h. For in office meetings, order catering and reserve meeting rooms, then communicate info to the attendees.

  1. Interviews for Candidates:

a. Arrange travel for candidates. Often the candidates come from out of state, which requires flight arrangements, hotel prepays and getting lunch for the candidate.

b. Following the visit, arrange reimbursement for taxis and meals for each candidate's out of pocket expenses.

c. Request from Profiles International, assessment reports for each candidate, then process invoices from Profiles International so they receive payment for the services provided.

  1. Business Travel:

a. Arrange business travel, and as needed arrangements for certain Sales executives

b. Secure visas as necessary for travel, which requires preparing application, invitation letter, and introduction letter, secure signatures for the letters. This has also included delivering the required documents to the CIBT office, as necessary, for expedited service.

Working hours: Monday - Wednesday 9am - 5pm


Education/Experience Requirements:

Minimum 3 years' experience in a corporate environment.

Bachelor's degree preferred.

Experience with expense report submission (knowledge of iExpense preferred).

General Knowledge & Technical skills:

--This position requires a high level of interaction with senior executives. Candidate must possess excellent people skills and a positive attitude; engaging; comfortable working with senior managers and other parts of the organization.

--Must be extremely organized. The ability to handle multiple tasks simultaneously and prioritize is a must. This is a fast paced work environment - candidates must operate with a high sense of urgency.

--Must work with discretion and a high standard of confidentiality.

--High level of proficiency of MS Office Products including Word, Excel and PowerPoint. Excellent technical skills.

--High degree of confidence with automated calendars in Microsoft Outlook is essential. Experience with scheduling across different time zones preferred.

--Intelligent & capable of working in a matrix environment with multiple people and priorities.

--Efficient and productive.

--Liaise with mailroom staff, office services & outside vendors as well as departmental team members & Administrative/Executive Assistants in other depts.
