This Strategic Meetings Management position within the Corporate Franchise Operations’ Corporate Sourcing team will be responsible for oversight of both the external and internal Strategic Meetings Management (SMM) program focusing on stakeholders, suppliers, and sourcing strategies for external and internal campus meeting functions.

This position requires leadership in the development of direct reports and strategic partnerships to ensure all service levels and deliverables are achieved.

The ideal candidate will have extensive experience with meeting sourcing and planning operations, meeting management tools and systems, external supplier engagement, financial metrics. The individual must be effective in working with stakeholders at all levels of the organization including senior leadership, with the goal of achieving significant value, cost optimization, and continuous quality improvement.

Responsibilities will include, but are not limited to, the following:

•Support Associate Director with the strategic direction of the external and internal campus meetings management program, including thought leadership for the strategic plan, program goals and quarterly business reviews

•Develop strategic partnerships with multiple, cross-functional Celgene stakeholders and suppliers

•Manage global sourcing initiatives and the onsite souring staff – direct and managed consultants

•People Management:

o Coach and guide direct reports and managed consultants

o Create and encourage a positive and open work environment

o Ensure direct reports and managed consultants are trained on all SOPs, policies, performance reviews, company values, and strategies

o Execute all people administration tasks

•Manage onsite planning function and staff E2E maximizing use of corporate assets and showing ROI

•Review and analyze financial meeting data and metrics

•Prepare timelines, status reports, cost analysis, and ad hoc reports as requested

•Identify, develop and ensure implementation of SOP’s and standard practices and process improvements

•Oversee and manage meeting technology, programs, and processes:

oRelationship management with the provider of the meetings management tool (e.g. CVENT, Lanyon), including alliance management, management of governance, and performance development

oOptimal usage of the meetings management software and capability, improve adoption and ensure quality, accurate, complete meeting data

•Develop goals and objectives for the Global Meetings program that aligned to organizational goals.

•Prepare periodic reports of department activities for senior management and other areas of the organization.

•Establish plans that anticipate and account for future market trends

•Analyze and resolve issues raised in audit reports pertaining to Global Meetings

•Address and resolve escalated issues

•Manage special projects as assigned by the Associate Director

•May require domestic and international travel in support of program operations – 20% travel

Qualifications

BA degree is required; CMP certification required; 7 years of event sourcing and planning experience

Skills/Knowledge Required:

•Minimum bachelor degree; MBA a plus

•Certified Meeting Professional (CMP) certification

•Proven experience – 7 years of professional event planning in the areas of hotel sourcing, conventions and meetings

•Proven experience – 7 years of people management

•Healthcare market experience a plus

•Excellent written and verbal communication and interpersonal skills

•Excellent organizational, planning and leadership skills

•Excellent negotiation/consensus building skills

•Excellent ability to maintain flexibility and manage conflict

•Excellent ability to exercise independent judgement consistent with organization’s guidelines and priorities

•Must be technologically proficient in working with an electronic sourcing tool (Cvent, Lanyon, etc.)

•Accomplished industry professional with excellent knowledge and thorough comprehension of event location analysis, logistics, and management of events from conception to completion.

•Experienced and adept in hotel/conference center policies, operations, procedures and contracting processes

•Exceptional project and time management skills with the ability to prioritize and oversee multiple events concurrently – skilled in multi-tasking.

•Flexibility and adaptability in the dynamic environment.

•Ability to relate well with others, build relationships and constructively interact with cross-functional partners.

•Experience with establishing end-to-end meeting processes, collaborative negotiation, agreement management, scenario analysis, market analysis, supplier analysis and management, technology utilization, and strategic planning

•Flexibility/availability to work extended hours and weekends if required
