Cornell University Temporary - Conference Support Assistant - ILR Conference Center - Ithaca Campus - 2 Openings in Ithaca, New York
The ILR School Conference Center has two temporary positions immediately throughl August 31, 2018. The Conference Support Assistants will be responsible for the coordination of the daily activities associated with the facilities and daily operation of the 9 conference rooms including 2 video conferencing rooms, the caf and other public areas of the Garden Avenue Complex. This facility produces an average of 1, 800 bookings with an attendance of 32, 000 participants in any given fiscal year.
These positions will cover a standard work hour of 7: 00am to 4: 30pm with frequent availability for the work hours of 4: 00pm through 9: 00pm and occasional weekends will be required. This schedule will be determined by the Manager of the ILR Conference Center to adhere to the needs of the Conference Center.
Material Handling & Conference Center Support:
Supporting the evening activities associated with the operation of the Ithaca ILR Conference Center by providing technical audio-visual, teleconferencing and basic desk computer/laptop/projection/network set-up and testing.
Setting up, organizing and dismantling conference furniture from schematic requests, and make ready the conference center facility for the next day's events
Set up and monitor the Conference Center events including room set-up, security, directing guests to rooms, cleaning up meetings/conferences, and closing the Conference Center at the end of the day.
M aintain meeting room supplies and straightening and replenishing rooms as needed.
Participate in maintaining inventories of the Conference Center
Cleaning and maintaining appearance of the ILR Conference Center, which includes emptying evening trash daily, taking out recycling, vacuuming
Report damage, safety issues, and routine maintenance needs to the Facilities Manager for ILR.
Guidance to student employees working the late afternoon and evening shift.
Work within a team environment to achieve the goals of the ILR Conference Center
Other duties as assigned by Director/Manager to support the Conference Center operation
Formal training beyond a HS Diploma of 6 months to 1 year
Able to lift 80 lbs. consistently throughout shift moving tables, chairs, furniture, etc. for room set up
Available to work irregular hours, evenings, holidays and weekends
Experience with audio/visual and video-conferencing technologies
Required to utilize Outlook e-mail and all Window Office software
Familiarity with event management software
Ability to troubleshoot problems and provide technical assistance to clients.
Must be flexible in working with changing priorities
Ability to work closely with technical experts and continually upgrade technological skills
Demonstrated ability to exercise discretion and independent judgment
Ability to interact tactfully with diverse groups of individuals
Ability to take initiative and be a pro-active team member
Must have outstanding organizational skills and strong attention to detail
Excellent verbal communication skills
Proven ability to successfully manage and prioritize multiple tasks under pressure within a team environment
Must be extremely reliable and have demonstrated record of good attendance
A bility to take assignments and preform regular tasks independently, referring questions to manager.
Must be highly motivated and have a positive work attitude with strong customer service focus.
Preferred Qualification s
- Associates degree or equivalent combination of education and experience
- Experience in a hospitality setting such as a hotel, restaurant, or Conference Center
- Experience with use o f Event Management System (EMS)
Familiarity with executing video and online meetings, presentations and webcasts
