Mississippi Employer Legal Executive Administrative Assistant in Pearl, Mississippi

Large Insurance company seeking experienced Executive Assistant with legal experience. Responsibilities include handling a wide variety of complex and confidential situations and resolving conflicts involving the clerical and administrative function of the office. Also responsible for confidential and time sensitive material. Preparation of routine and advanced correspondence including letters, memorandums, and reports. Relies on experience and judgment to plan and accomplish goals. A wide degree of creativity and latitude is expected. May direct and lead the work of others. Typically reports to the Vice President of Legal Department. SALARY: $35k- 45K HOURS: Monday through Friday, 8am-5pm. REQUIREMENTS: Type reports, memos, letters and other documents for the Vice President, Human Resources. Proofread reports and correspondence for spelling, grammar and layout making appropriate changes. Responsible for accuracy and clarity of final copy . This correspondence may, and generally does, contain confidential information. Provide administrative support assistance such as preparing correspondence, scheduling and coordinating staff meetings, assisting employees and outside contacts with questions, etc. Answer phone calls and direct calls to appropriate parties or take messages. Maintain the scheduled time off calendar for managers and keep the Vice President updated. Compile and maintain confidential spreadsheets for Vice President. Develop, maintain and update the filing system for the Vice president and the department. Retrieve information from files when needed. Schedule and keep the Vice President, Human Resources informed of all upcoming meetings. Take meeting notes and distribute the meeting minutes to appropriate parties. Maintain the Vice President s calendar by organizing and scheduling appointments. Make all travel arrangements (i.e. hotel reservations, flights, car rentals, etc.) for the Vice President and other management staff reporting to the Vice President. Act as a liaison with other departments and management staff. Handle confidential and non-routine information and explain policies when necessary. Complete monthly reports for Vice President, including monthly expense reports. Must be 18 years of age and able to pass a drug screen.
